WTM London Stand Builders: ExCeL Logistics, Real Costs, and What Wins the Floor
World Travel Market London is the UK's flagship travel and tourism trade show and one of the largest of its kind anywhere. Recent ExCeL editions have drawn around 46,500 attendees and roughly 5,000 exhibitors from more than 150 countries, with over 40,000 pre-scheduled buyer meetings across three days in early November. WTM sits in RX's global travel portfolio alongside Arabian Travel Market and WTM Africa and Latin America, and it is where tourism boards, hotel groups, airlines, OTAs, destination management companies and travel-tech firms do a year's business in seventy-two hours.
That scale should change how you think about a stand. WTM is dominated by large national and regional tourism-board pavilions — multi-exhibitor country stands that are among the most ambitious builds on any UK floor. If you are a destination, a hotel group or a platform exhibiting near them, a tired shell scheme disappears. The real brief at WTM is presence plus meeting capacity: a stand that reads as serious from across the aisle, and still gives your team enough semi-private space to run back-to-back buyer appointments.
Building at ExCeL: the rules that shape your {show} stand
ExCeL is a pillar-free hall with around 10m of clear internal height, but your stand does not get all of it. For space-only stands the working height limit at most ExCeL shows is 6m, and anything ExCeL classes as a complex structure — double-deckers, heavy suspended elements, long unsupported spans — triggers a formal sign-off you need to budget time for, not just money.
Here is how that process actually runs, and why using a builder who has done it matters. Complex designs must be submitted with engineering calculations applying a minimum factor of safety of 1.5. An independent structural engineer reviews the drawings for ExCeL and the local authority and, if satisfied, issues a Certificate of Integrity at design stage — which releases your Certificate to Build. The same engineer inspects the stand on site during build-up and issues a second Certificate of Integrity at construction stage before you can open. Miss a calculation or submit late and you do not build.
Overhead rigging is controlled tightly: all primary rigging to the ceiling is installed exclusively by ExCeL's own team — you cannot fix anything to the building yourself. Banner and lighting rigs are ordered through ExCeL's webshop and confirmed around 28 days before tenancy for the advance rate, with the organiser's permission to rig required first. Lightweight static items hang from drop wires up to 50kg; heavier loads or chain hoists are separate, costlier orders, and trim heights are standardised so no stand flies its banner higher than its neighbours.
The smaller rules catch people out too: platforms above 170mm need ramped, accessible access and a clear colour contrast at the level change; solid walls along an open gangway edge are generally not allowed; only water-based paint may be used on site; and every structure must be fully self-supporting. We design to all of this from the first sketch and submit the venue paperwork, so the build you approve is the build that opens.
Is a custom stand right for your WTM presence?
A custom design-and-build stand is the right call for most serious WTM exhibitors, because the show rewards scale and meeting capacity. It is worth the investment if you are a tourism board or destination running a multi-partner pavilion, a hotel or resort group hosting hosted-buyer appointments across all three days, a travel-tech or OTA brand launching a product with demo stations and private rooms, or a brand positioned near the big country pavilions where a shell scheme would be visually swamped.
Country and group pavilions — a WTM speciality
The pavilion format — a shared structure housing many sub-exhibitors under one destination brand — is a WTM signature and a build discipline in its own right. It needs a master design language, modular sub-stands so every co-exhibitor gets visibility, shared hospitality and storage, and traffic flow that works when the aisles are three deep. We manage the whole pavilion as a single point of contact, from master design through install and on-site support, so partner regions and operators don't each have to solve the venue separately.
What a WTM stand really costs
A turnkey stand at WTM typically falls in these bands, before any country-pavilion scope: an enhanced shell scheme or compact custom build runs roughly £3,950–£12,500; a mid-size custom build with bespoke 3D design, AV, upgraded lighting and a dedicated meeting area runs £12,500–£28,000; and flagship or double-decker stands and multi-partner pavilions, with hospitality, integrated tech and the structural sign-off described above, run £28,000–£75,000 and up. Where you land depends on size, materials, AV count and how much bespoke architecture you add.
Where WTM stands go wrong
The avoidable mistakes we see most at a show this international: designing for footfall instead of meetings, when qualified appointments are what actually close business at WTM; leaving the complex-structure certificate too late and being forced to redesign down to a simple build; under-ordering rigging and power, then paying ExCeL's on-site surcharges during the busiest build week of the year; running a pavilion with no shared identity, so co-exhibitors compete with each other instead of rival destinations; and providing no quiet space, so hosted-buyer appointments happen standing in the aisle.
Stand sizes and layouts at WTM
WTM exhibitors range from 9m² shell-scheme spaces for first-timers and start-ups up to several-hundred-square-metre country pavilions. For a single brand, the layout question is really about protecting meeting time. An open-front island pulls casual traffic and suits a destination wanting reach; a part-enclosed or welcome-desk layout protects your team's appointments; and a first-floor space on a double-decker buys you genuinely quiet, on-brand rooms for the hosted-buyer meetings that close business. We'll recommend a layout based on your hall position, your appointment volume and how much of your value is in private conversations versus public visibility.
Getting into ExCeL: build-up timing for WTM
WTM falls in the busiest fortnight of the UK exhibition calendar, so ExCeL's build-up schedule is tight and oversubscribed. Material-handling slots, rigging crews and the electrical contractor all book up early, and on-site surcharges climb for anything ordered late. We confirm your space-only build-up window, book rigging at the advance rate (around 28 days out), coordinate power with the appointed contractor, and crate to a schedule that lands your stand inside its slot — so you are not paying premium rates to rescue a late build during peak week.
Reusing your WTM stand between editions
WTM runs every November and most serious exhibitors — tourism boards especially — come back year after year, which makes a reusable stand the sensible economic choice. We build on a modular structural core that we store between editions and re-skin with fresh graphics, so you are not paying to fabricate the same walls, counters and meeting rooms twice. For a multi-partner country pavilion that can be a substantial year-on-year saving against a fully bespoke rebuild.
Reuse also supports the sustainability reporting that more destinations and corporate exhibitors now publish. We use recycled and low-waste materials where the design allows, recover and re-stock reusable elements after the show, and can give you a short statement of what was reused versus newly produced for your post-show report. In most years the graphics refresh is the only major cost, and it keeps the stand current as your destination campaign evolves.
Next step for your WTM stand
Send us your space size, hall position and whether you are running a single stand or a pavilion. You will get a custom 3D concept and a fixed, all-inclusive quote within 48 hours — designed to ExCeL's space-only and rigging rules, with the structural sign-off built into the timeline if your design needs it. We build in-house and install at ExCeL, so the stand you approve in the rendering is the stand that opens on the first morning of WTM.
We also design and build exhibition stands for other major UK shows — see the full show calendar for travel & tourism and beyond, all with the same in-house team, fixed all-in pricing and full venue paperwork.
Build notes for ExCeL London
Field notes from Daniel Hughes, Senior Project Manager at London Exhibition Company — the detail that isn’t in the exhibitor manual.
Rigging is ordered through ExCeL — and the clock starts early
Anything suspended over your stand goes through ExCeL's official rigging webshop, and orders are due roughly 28 days before build-up; drop wires are capped at 50kg each. Leave it late and you either lose the hang or pay rush rates. On any design with a hanging element we file the rigging order the day it's signed off.
Space-only height runs to 6 metres
Space-only stands at ExCeL can build to 6m, which is what makes double-deck and tall feature towers possible here. Anything structurally complex needs structural calculations plus a Certificate of Structural Adequacy and a Certificate to Build submitted ahead of the show. We prepare these in-house.
Platforms over 170mm need an edge ramp
Any raised floor above 170mm has to be ramped for accessibility. It's a small rule that changes your footprint, so we design the ramp in from the start rather than losing usable stand space.
Finish off-site — only water-based paint on the floor
ExCeL permits only water-based paint for touch-ups in the hall, so finishes are completed and inspected at our workshop and the on-site crew assembles rather than fabricates.
Common mistakes, in order of frequency
- An oversized logo on the back wall that crowds out the one-line value proposition a passer-by actually reads in three seconds.
- The same graphic on the front and side panels of an inline stand — the side panel is your aisle-facing billboard and the most wasted surface at most shows.
- A freestanding sign or counter at the very front that blocks the sightline into the stand and stops people stepping in.
- Under-staffing at peak — you need someone working the aisle separately from whoever is running meetings.
- A fully enclosed meeting room on a small stand: it eats a quarter of the floor and leaves the rest cramped. Under ~30 sqm a semi-open nook usually works better.
- Leaving rigging and electrical orders until after the venue deadlines and paying avoidable surcharges.

20 Questions Exhibitors Ask About World Travel Market (WTM) London Stands
Real answers with real numbers. Click any question to expand.
How tall can my stand be at WTM London, and do I need structural approval?
For space-only stands at ExCeL the working height limit at most shows is 6m. Anything ExCeL treats as a complex structure — double-deckers, large suspended elements — needs engineering calculations at a 1.5 safety factor reviewed by an independent structural engineer, who issues a Certificate of Integrity at design stage (releasing your Certificate to Build) and again on site at construction stage. We handle the full submission so it doesn't put your build at risk.
Can I hang a banner or lighting rig above my WTM stand?
Yes, but only ExCeL's own rigging team installs primary rigging to the ceiling — you can't fix to the building yourself. Rigs are ordered through ExCeL's webshop and confirmed about 28 days before tenancy for the advance rate, with the organiser's permission to rig required first. Lightweight static items hang from drop wires up to 50kg; heavier loads are separate orders. We design within ExCeL's standard trim heights and order it all for you.
Do you build country and tourism-board pavilions for WTM?
Yes — multi-partner pavilions are a WTM speciality. We design a shared identity, modular sub-stands for each co-exhibitor, shared hospitality and storage, and a traffic flow that gives every partner visibility, all managed through a single point of contact.
How much does a WTM London stand cost?
Roughly £3,950–£12,500 for an enhanced shell scheme or compact custom build, £12,500–£28,000 for a mid-size custom build, and £28,000+ for flagship, double-decker or pavilion builds. Every quote is fixed and all-inclusive with a free 3D concept.
When is WTM London and how early should I book?
WTM London runs in early November each year at ExCeL — the next edition is 3–5 November 2026. Because it lands in the busiest UK exhibition fortnight, book 10–14 weeks ahead, earlier for a pavilion or a complex-structure build, to secure design time, production slots and advance-rate rigging.
What's included in a turnkey WTM stand?
Custom 3D design, in-house build, full graphics, delivery to ExCeL, certified install and dismantle, all ExCeL space-only and rigging paperwork, electrical coordination with the appointed contractor, structural sign-off where required, and a dedicated project manager from kickoff to breakdown — on one invoice.
What's included in the price?
Every quote is turnkey: a custom 3D concept, in-house build and pre-build inspection, full graphics production, delivery to ExCeL, certified install and dismantle, all ExCeL health-and-safety and contractor paperwork, and a dedicated project manager from kickoff to breakdown — on one invoice.
Can I customise a design from your gallery?
Yes. Pick any base design and change graphics, colours, finishes, monitor placement, counter styles, accessories and meeting-room layout. Your final 3D rendering reflects every change before production starts.
Can I add AV, monitors and tech to the stand?
Yes. Monitors, touchscreen kiosks, tablet stands, charging points and audio are all standard add-ons included in your flat quote — no separate AV vendor to coordinate.
Do you provide on-site support during the show?
Yes. Our team is on call during World Travel Market London show hours for anything from graphic touch-ups to electrical issues, and larger stands include a dedicated on-site project lead.
What happens to the stand after the show?
Our crew dismantles and removes the stand, and we can store reusable elements for your next edition and refresh the graphics — so you are not paying to rebuild from scratch each time.
What is your in-house pre-build guarantee?
Every stand is fully assembled and inspected at our facility before delivery to ExCeL. We send preview photos for approval, then it ships — so the on-site install is the replication of an approved build, not first-time assembly on show day.
Do you build double-decker stands?
Yes. Where the World Travel Market London floor plan and budget allow, a double-decker doubles your footprint and adds first-floor hospitality. At ExCeL a two-storey stand needs engineering sign-off, which we manage end to end.
Do you work with international exhibitors?
Yes. As part of a group operating across the USA, UAE and Europe, we support international brands exhibiting at World Travel Market London with one point of contact, a consistent design language and full UK venue and logistics handling.
How do I get started?
Send your World Travel Market London stand space, dates and any design preferences. You'll receive a custom 3D rendering and a fixed, all-inclusive quote within 48 hours — no obligation.
Do you handle electrics, lighting and power?
Yes. We design the lighting scheme and order power, rigging and connections from ExCeL's appointed contractor, included in your flat quote — you don't manage a separate electrical supplier.
Do you offer rental or shell-scheme upgrade stands?
Yes. Alongside full custom builds we offer fixed-price rental and shell-scheme upgrades for World Travel Market London — fast, cost-effective, and dressed to look bespoke. Ideal for first-time or budget-conscious exhibitors.
Can you build a sustainable, reusable stand?
Yes. We build reusable modular systems and use recycled and low-waste materials, then store and refresh the stand between editions — better for budget and for your sustainability reporting.
Can you build a private meeting room into the stand?
Yes. A semi-enclosed meeting or consultation space is one of the most useful features at World Travel Market London; we design it into the layout with the right acoustics, seating and storage.
What size stand do I need?
It depends on your goals at World Travel Market London — a 9-18m² stand suits a focused presence, 18-50m² gives room for demos and meetings, and 50m²+ supports a flagship or double-decker build. Tell us your objectives and we'll recommend a size and layout.
