The Meetings Show Stand Builders: ExCeL Logistics, the Hosted-Buyer Model, and What Wins Bookings
The Meetings Show is the UK's leading event for the meetings, incentives, conferences and events (MICE) industry, held each June at ExCeL London and co-located with Business Travel Show Europe and TravelTech Show. It brings event organisers, agencies, corporate planners and association buyers together with the venues, destinations, hotels, DMCs and suppliers who want their business.
What makes this show different from most is the hosted-buyer model: a large share of the valuable conversations are pre-booked, diary-driven meetings rather than passing aisle traffic. That changes the brief entirely. The stand is less a shop window and more a place to host a full schedule of appointments well — comfortably, on-brand, and without your team queueing for a seat.
So the design question is rarely ‘how do we stop people walking past’ and more ‘how do we host fifteen good meetings a day and make every buyer feel looked after’. The exhibitors who win business here build for hospitality and capacity, and let the destination or venue they're selling do the talking.
For a venue, destination or agency that means the stand is doing two jobs: it has to feel like a place worth holding an event, and it has to function as an efficient meeting hub for a packed hosted-buyer diary. The exhibitors who do well here design for both the feeling and the schedule.
Building at ExCeL London: the rules that shape your stand
ExCeL is a pillar-free hall with around 10m of clear internal height, but your stand does not get all of it. For space-only stands the working height limit at most ExCeL shows is 6m, and anything ExCeL classes as a complex structure — double-deckers, heavy suspended elements, long unsupported spans — triggers a formal sign-off you need to budget time for, not just money.
Complex designs must be submitted with engineering calculations applying a minimum factor of safety of 1.5. An independent structural engineer reviews the drawings and, if satisfied, issues a Certificate of Structural Adequacy at design stage, which releases your Certificate to Build; the same engineer inspects the stand on site during build-up before you can open. Miss a calculation or submit late and you do not build.
Overhead rigging is controlled tightly: all primary rigging to the ceiling is installed exclusively by ExCeL's own team, ordered through ExCeL's webshop and confirmed around 28 days before tenancy for the advance rate. Lightweight static items hang from drop wires up to 50kg; heavier loads are separate, costlier orders.
The smaller rules catch people out too: platforms above 170mm need ramped, accessible access; solid walls along an open gangway edge are generally not allowed; only water-based paint may be used on site; and every structure must be fully self-supporting. We design to all of this from the first sketch and submit the venue paperwork, so the build you approve is the build that opens.
What a winning Meetings Show stand needs
Because so much of the value is in scheduled meetings, the stand has to be a good place to have them: enough seated meeting points for your busiest hour, a layout where conversations don't collide, and a welcoming, hospitable feel — this is an industry that sells experiences, so your stand is itself a sample of how you host. We design comfortable, branded meeting settings, a clear welcome point so hosted buyers find you easily, and somewhere to offer a coffee or a moment's hospitality.
Brand and place do the persuading. If you're selling a destination, a venue or a hotel, the stand should evoke it — imagery, finishes and a feel that let a buyer picture their event there — because planners are buying a vision as much as a rate card.
Designing for back-to-back appointments
We design the stand around your meeting schedule, not against it. That means sizing the number of seated settings to how many buyers your team hosts at peak, giving each enough separation that one conversation isn't drowned by the next, and keeping a clear flow so an arriving buyer and a departing one don't get tangled. For larger exhibitors we build in a quieter or semi-private setting for the senior, high-value conversation.
Storage and a discreet team area matter more here than at a product show: brochures, giveaways, coats and bags need somewhere out of sight so the meeting space stays calm and professional all day.
What a Meetings Show stand costs
A turnkey stand typically runs roughly £3,950–£12,500 for a compact custom build with a meeting setting or two, £12,500–£28,000 for a mid-size build with several meeting points and hospitality, and £28,000 and up for a flagship destination or venue stand. The quote is turnkey — design, build, graphics, lighting, furniture, delivery to ExCeL, install, dismantle and the venue paperwork are all included — and meeting capacity, hospitality fit-out and finish quality are what move the number.
For a hosted-buyer show the spend that pays back is in capacity and comfort, not spectacle: a stand that lets you host more good meetings, more graciously, is the one that justifies the cost.
What you don't pay extra for matters when you're committing budget to a relationship-led show: the figure is genuinely all-in, so material handling, electrical and last-minute rigging are already accounted for, leaving your team to focus on the buyers, not the invoice.
Stand sizes and layouts
Stands run from compact spaces for single venues or smaller DMCs up to large island builds for destinations and hotel groups. The layout balances an inviting, on-brand frontage with the meeting capacity behind it, so we design a clear welcome and brand statement at the front and a calm, well-spaced meeting area behind — scaled to the number of appointments you expect to run across the two days.
Open or corner positions help, because a hosted buyer with a packed diary should be able to spot and reach your stand quickly between meetings.
Whatever the size, we protect enough seated meeting capacity for your busiest hour, because at a hosted-buyer show a missed appointment for lack of a free seat is a missed piece of business.
Getting into ExCeL: build-up timing
The Meetings Show sits in a busy June run at ExCeL alongside its co-located shows, so build-up slots, rigging and power book up early and late orders attract surcharges. We confirm your space-only window, order any rigging and power at the advance rate, and crate to a schedule that lands the stand inside its slot — finished and styled, so it's ready to host its first appointment the moment doors open.
Because several shows share the venue that week, a planned, slotted delivery matters: we coordinate it so your build isn't caught behind a neighbour's in the marshalling queue.
Reusing your stand between editions
Most venues, destinations and agencies exhibit here every year, so a modular, reusable stand is sound economics. We store the core, refresh the destination imagery, branding and layout for each edition, and keep your meeting-capacity plan on file — so you arrive each June with a current, hospitable stand sized for your diary rather than a rebuild.
Next step for your The Meetings Show stand
Send us your space size, hall position and goals for The Meetings Show. You'll get a custom 3D concept and a fixed, all-inclusive quote within 48 hours — designed to ExCeL's rules, with structural sign-off built into the timeline if your design needs it. We build in-house and install at ExCeL London, so the stand you approve in the rendering is the stand that opens.
We also design and build exhibition stands for other major UK shows — see the full show calendar for events, meetings & business and beyond, all with the same in-house team, fixed all-in pricing and full venue paperwork.
