London Vet Show Stand Builders: ExCeL Logistics, the Veterinary Professional, and What Wins
London Vet Show is Europe's largest veterinary exhibition and conference, held each November at ExCeL London and organised by CloserStill. It draws upwards of 6,000 delegates and 375-plus exhibitors across two intense, CPD-packed days, gathering vets, veterinary nurses, practice managers and owners from across the UK and beyond.
Its audience is busy, clinical and time-poor: delegates move between a heavy programme of CPD lectures and the exhibition floor, so your stand has a narrow window to catch a relevant professional and start a useful conversation. The brief is to be clearly relevant from the aisle, let people engage with the product or service, and — where the sale warrants it — give your team space to talk properly with a practice decision-maker.
Because so many delegates are tied up in lectures, the exhibition time is concentrated and valuable, which rewards a stand designed to make the most of every passing professional.
For a veterinary brand that means designing for a delegate who is dipping out of a packed CPD programme for a short spell on the floor: be unmistakably relevant from the aisle, and make engaging easy and quick. The exhibitors who do well here respect how little exhibition time their audience actually has.
Building at ExCeL London: the rules that shape your stand
ExCeL is a pillar-free hall with around 10m of clear internal height, but your stand does not get all of it. For space-only stands the working height limit at most ExCeL shows is 6m, and anything ExCeL classes as a complex structure — double-deckers, heavy suspended elements, long unsupported spans — triggers a formal sign-off you need to budget time for, not just money.
Complex designs must be submitted with engineering calculations applying a minimum factor of safety of 1.5. An independent structural engineer reviews the drawings and, if satisfied, issues a Certificate of Structural Adequacy at design stage, which releases your Certificate to Build; the same engineer inspects the stand on site during build-up before you can open. Miss a calculation or submit late and you do not build.
Overhead rigging is controlled tightly: all primary rigging to the ceiling is installed exclusively by ExCeL's own team, ordered through ExCeL's webshop and confirmed around 28 days before tenancy for the advance rate. Lightweight static items hang from drop wires up to 50kg; heavier loads are separate, costlier orders.
The smaller rules catch people out too: platforms above 170mm need ramped, accessible access; solid walls along an open gangway edge are generally not allowed; only water-based paint may be used on site; and every structure must be fully self-supporting. We design to all of this from the first sketch and submit the venue paperwork, so the build you approve is the build that opens.
What a winning veterinary stand needs
The stands that work here are clear, credible and easy to engage with. We design a frontage that states who you are and what you do for a practice in a glance, space to show or demonstrate the product — equipment, pharma, nutrition, software or services — and a comfortable spot for the conversation that matters, whether that's a clinical demo or a commercial discussion with a practice owner. A professional, trustworthy build matters to a clinical audience that values quality.
Lead capture is built into the flow, because delegates are busy and the follow-up is where many veterinary sales actually progress, so we make it quick and natural rather than a barrier to the conversation.
We also design the stand so several conversations can run at once without it feeling chaotic, because the busiest exhibition spells are short and you want to engage as many relevant professionals as possible while they're off the lecture timetable.
Designing for a busy, clinical audience
Veterinary professionals are knowledgeable and pressed for time, so the stand has to qualify and engage fast: a clear, relevant message so the right vets, nurses and practice managers stop, and an easy way into a useful conversation for those who do. For products that need demonstrating — a device, a diagnostic, a software workflow — we build a clean demo point so it can be shown, not just described.
Credibility carries weight with clinicians, so real evidence and a knowledgeable team on the stand do more than gloss; we design space for proof and for proper conversation rather than for noise.
What a London Vet Show stand costs
A turnkey stand typically runs roughly £3,950–£12,500 for a compact custom build, £12,500–£28,000 for a mid-size build with demo and meeting space, and £28,000 and up for a flagship build. The quote is turnkey — design, build, graphics, lighting, delivery to ExCeL, install, dismantle and the venue paperwork are all included — and any product demo, AV and finish quality move the number most.
The spend that pays back here is in a credible, engaging stand that makes the most of concentrated exhibition time, not in spectacle — a clinical audience rewards substance and clarity.
What you don't pay extra for matters when marketing budgets are tight: the figure is genuinely all-in, so material handling, electrical and last-minute rigging are already accounted for, leaving your attention on the delegates.
Stand sizes and layouts
Stands run from compact spaces for first-time and specialist suppliers up to large builds for major pharma, equipment and software brands. The layout balances an inviting, clearly relevant frontage with the demo and conversation space behind, so we put the hook and product where the aisle sees it and keep a calmer area for the clinical or commercial discussion. Open and corner positions help capture delegates moving between lectures and the floor.
Whatever the size, we light and present the product well, because a clean, professional stand makes equipment or a service look like the quality choice it is to a discerning clinical audience.
And because a clinician remembers a hands-on demo far longer than a leaflet, a clean, working demonstration is usually the single best use of stand space at this show.
Open frontages also help you catch the surge of delegates that floods the exhibition floor during the breaks between lecture sessions.
Getting into ExCeL: build-up timing
London Vet Show sits in a busy November slot at ExCeL, so material-handling, rigging and the electrical contractor book up early and late orders attract surcharges. We confirm your space-only window, book rigging at the advance rate (around 28 days out), coordinate power for any demos with the appointed contractor, and crate to a slot that lands the stand finished and ready before the two-day run begins.
Reusing your stand between editions
Veterinary brands exhibit at London Vet Show every year, so a modular, reusable stand is sound economics. We store the core, refresh the graphics and product display for each edition, and keep your layout and contractor orders on file — so you arrive each November with a current, credible stand rather than a rebuild, and can scale as your presence grows.
We also keep the product display and any demo current between editions, because a clinical audience notices stale messaging, so each November is a refresh rather than a rebuild from scratch.
