London International Horse Show Stand Builders: Retail Theatre for a Festive Crowd
The London International Horse Show is the UK's premier festive equestrian event, held at ExCeL London (it moved from its long-time Olympia home in 2021 while Olympia is redeveloped, and is committed to ExCeL for the coming years). Managed by HPower Group and presented by Clarion Events, it runs across five days — 17–21 December 2026 — and draws more than 80,000 attendees for FEI World Cup qualifiers in jumping, dressage and driving, alongside displays and entertainment.
For exhibitors, the draw is the Shopping Village — over 200 equestrian and lifestyle brands selling to an affluent, in-the-mood-to-spend festive audience doing its Christmas shopping. This is a retail environment, not a B2B trade show, so the stand brief is about selling: strong sightlines, generous display of stock, easy browsing flow, a quick and visible payment point, and enough stock storage to restock through five long days. The stands that do best feel like a smart Christmas boutique, not a trade booth.
Building at ExCeL: the rules that shape your {show} stand
ExCeL is a pillar-free hall with around 10m of clear internal height, but your stand does not get all of it. For space-only stands the working height limit at most ExCeL shows is 6m, and anything ExCeL classes as a complex structure — double-deckers, heavy suspended elements, long unsupported spans — triggers a formal sign-off you need to budget time for, not just money.
Here is how that process actually runs, and why using a builder who has done it matters. Complex designs must be submitted with engineering calculations applying a minimum factor of safety of 1.5. An independent structural engineer reviews the drawings for ExCeL and the local authority and, if satisfied, issues a Certificate of Integrity at design stage — which releases your Certificate to Build. The same engineer inspects the stand on site during build-up and issues a second Certificate of Integrity at construction stage before you can open. Miss a calculation or submit late and you do not build.
Overhead rigging is controlled tightly: all primary rigging to the ceiling is installed exclusively by ExCeL's own team — you cannot fix anything to the building yourself. Banner and lighting rigs are ordered through ExCeL's webshop and confirmed around 28 days before tenancy for the advance rate, with the organiser's permission to rig required first. Lightweight static items hang from drop wires up to 50kg; heavier loads or chain hoists are separate, costlier orders, and trim heights are standardised so no stand flies its banner higher than its neighbours.
The smaller rules catch people out too: platforms above 170mm need ramped, accessible access and a clear colour contrast at the level change; solid walls along an open gangway edge are generally not allowed; only water-based paint may be used on site; and every structure must be fully self-supporting. We design to all of this from the first sketch and submit the venue paperwork, so the build you approve is the build that opens.
What a Shopping Village stand needs
Design for retail conversion: open, inviting frontage that pulls browsers in rather than walling them out; well-lit, well-stocked display that makes product easy to handle; a clear, staffed till point positioned so queues don't choke the aisle; durable build for five days of heavy public traffic; and a discreet lockable store for overnight stock security and restocking. Festive warmth in the styling helps — this audience is shopping for Christmas.
Rental or custom for the Horse Show?
Many Shopping Village exhibitors are retail and lifestyle brands for whom a fixed-price rental or enhanced shell scheme — dressed to look bespoke — is the most cost-effective route to a polished festive stand. Brands that exhibit here every year, or want a signature presence, benefit from a custom build we store and refresh annually. We build both and design specifically for retail flow and security.
What a Horse Show stand costs
Indicative turnkey pricing: an enhanced shell scheme or compact retail stand runs roughly £3,950–£12,500; a mid-size custom retail stand with feature display, lit shelving and a till point runs £12,500–£28,000; and a flagship festive presence with bespoke joinery and a hospitality element runs £28,000 and up. Every quote is fixed, all-inclusive and includes a free 3D concept.
Five-day retail logistics — the part most exhibitors underestimate
Five days of festive public trading is a different operation from a two-day trade show. Stock turns over fast, the stand takes heavy handling, and security overnight is a real concern. We design for it: a lockable store sized to your stock, a till and packing point positioned to keep queues off the aisle, durable surfaces and flooring that still look good on day five, and lighting that makes product pop under ExCeL's hall conditions. We also keep a crew on call across the run for any running repairs.
Getting into ExCeL for a December show
The Horse Show transforms ExCeL into an arena venue, so build-up coordinates around the sporting infrastructure as well as the Shopping Village. We confirm your build-up window and access route, order any rigging through ExCeL at the advance rate, coordinate power, and schedule delivery so your retail stand is dressed and stocked before doors open on day one — then handle dismantle and removal after the final session so you are not managing breakdown over the festive period.
Stock, fulfilment and the festive retail rush
The Horse Show is a five-day festive consumer show, and the Shopping Village runs like genuine retail — which means the operational detail behind the stand matters as much as the look. Exhibitors sell real volume here, so we design in a proper till and payment position, queue space that stays on your own stand, lockable overnight storage, and a back-of-house area for restocking without disrupting the shop front. Gift-wrap or collection points, where you offer them, are planned in rather than improvised on day three.
Five consecutive trading days, including evenings, also put more wear on a stand than a two-day trade show. We build robustly, secure graphics and fittings, and specify surfaces and flooring that still look right on the final evening, because the festive crowd keeps coming and a tired-looking stand costs sales in the most lucrative hours.
Reusing your Horse Show retail stand
The London International Horse Show returns each December, and many Shopping Village exhibitors come back annually, so a reusable stand is the sensible choice. We store the modular structure between editions and refresh the graphics and merchandising for each year's range, keeping the cost down and the shop front current. Recycled and low-waste materials are used where the design allows, and storing the core means you are not rebuilding your retail unit from scratch each festive season. We also keep your merchandising layout on file, so scaling the unit up or adding a second selling position in a future year starts from what already worked.
On-site support and project management
Every stand comes with a dedicated project manager from kickoff to breakdown, and our crew is on call during show hours for graphic touch-ups, electrical issues or last-minute changes; larger stands get a dedicated on-site lead. Because we pre-build and inspect in-house before delivery to ExCeL London, the on-site install is the replication of an already-approved build rather than first-time assembly under the clock — which is what keeps your opening morning calm.
Next step for your Horse Show stand
Send your stand size and what you're selling. You'll get a 3D concept designed for retail flow and a fixed all-inclusive quote within 48 hours — built in-house and installed at ExCeL to its rules, with a crew on call across all five festive show days.
We also design and build exhibition stands for other major UK shows — see the full show calendar for consumer & lifestyle and beyond, all with the same in-house team, fixed all-in pricing and full venue paperwork.
