The London Book Fair Stand Builders: A New ExCeL Home, Rights Tables, and What Publishers Need
The London Book Fair is the global marketplace for the publishing industry, running since 1971 and drawing more than 30,000 professionals and over 1,000 exhibitors — publishers, literary agents, rights and licensing teams, booksellers and content businesses. From 2027 the fair moves from Olympia to ExCeL London.
For exhibitors the stand is a trading floor, not a display: most business is done in back-to-back rights and sales meetings, so meeting capacity is everything. The design has to fit the maximum sensible number of usable meeting points, show your titles and brand clearly, and keep three days of appointments running smoothly.
For exhibitors that means resisting the temptation to over-display and instead maximising usable, comfortable meeting capacity — the stand earns its keep in meetings held, not shelf space shown. Branding and titles still matter, but as a way to be found and remembered, not as the main event.
Building at ExCeL London: the rules that shape your stand
ExCeL is a pillar-free hall with around 10m of clear internal height, but your stand does not get all of it. For space-only stands the working height limit at most ExCeL shows is 6m, and anything ExCeL classes as a complex structure — double-deckers, heavy suspended elements, long unsupported spans — triggers a formal sign-off you need to budget time for, not just money.
Complex designs must be submitted with engineering calculations applying a minimum factor of safety of 1.5. An independent structural engineer reviews the drawings and, if satisfied, issues a Certificate of Structural Adequacy at design stage, which releases your Certificate to Build; the same engineer inspects the stand on site during build-up before you can open. Miss a calculation or submit late and you do not build.
Overhead rigging is controlled tightly: all primary rigging to the ceiling is installed exclusively by ExCeL's own team, ordered through ExCeL's webshop and confirmed around 28 days before tenancy for the advance rate. Lightweight static items hang from drop wires up to 50kg; heavier loads are separate, costlier orders.
The smaller rules catch people out too: platforms above 170mm need ramped, accessible access; solid walls along an open gangway edge are generally not allowed; only water-based paint may be used on site; and every structure must be fully self-supporting. We design to all of this from the first sketch and submit the venue paperwork, so the build you approve is the build that opens.
What a winning publisher stand needs
The core of a Book Fair stand is meeting tables — enough of them, with enough separation that two conversations can run side by side without overhearing each other. Around that we design clear title display, recognisable branding so your team and your visitors can find the stand, and storage for catalogues, samples and bags. The look matters, but throughput — how many good meetings the stand supports a day — is what we optimise for.
For bigger publishers and collective stands, we plan a front-of-house welcome and a logical flow so scheduled visitors reach the right table quickly rather than milling at the edge.

The single most important design decision is how many meeting positions you need across the day and how private each has to be. We work back from your appointment volume to a table count and spacing that's realistic — too few and your team is double-booked, too many and the stand feels like a call centre. Rights tables, agent meetings and quieter deal conversations each get the right setting.
We also plan the quieter mechanics that keep meetings running: somewhere to leave coats and bags, water and power at the tables, and a flow that lets one meeting end and the next begin without a bottleneck at the front of the stand.

A turnkey stand typically runs roughly £3,950–£12,500 for a compact meeting-led build, £12,500–£28,000 for a mid-size stand with multiple tables, title display and storage, and £28,000 and up for a large publisher or collective stand. The table count, storage and level of finish usually move the number most.

2027 is the first year the fair runs at ExCeL rather than Olympia, and the move actually helps stand design: ExCeL is a modern, pillar-free, fully accessible hall with more height and far more rigging freedom than Olympia's listed building allowed. That opens up taller branding, hung signage and larger structures — and because we build at ExCeL constantly, we already know its space-only, rigging and electrical rules.
Practically, the move also brings better transport access and step-free routes for international visitors arriving from City and Heathrow on the Elizabeth line — worth factoring into where you place your welcome point on the stand.

Stands range from compact spaces for independent publishers and agents up to large collective and corporate stands. The layout is a density question — fitting meeting capacity, display and storage into the footprint without it feeling cramped — and we size and arrange it around how many meetings you need to run at once.
Because the move to ExCeL gives more height and rigging freedom than Olympia did, larger publishers can now use hung branding and taller structures to be found across a bigger hall — useful when visitors are navigating to a specific table for a booked appointment.
