Learning Technologies Stand Builders: ExCeL Logistics, L&D Buyers, and What Wins Demos
Learning Technologies is Europe's leading event for workplace learning and the technology behind it, held each spring at ExCeL London and co-located with HR Technologies UK. It draws around 15,000 L&D and HR professionals to 200-plus exhibitors across two halls, with a major free-seminar and conference programme running alongside.
The audience are L&D and HR decision-makers comparing platforms — LMS and LX systems, content, AI tools — over two days. So the brief is demonstrate plus capture: a stand that shows your platform working, makes clear who it's for, and gives you the seated space to walk a buyer through it properly, because L&D buying is a considered, demo-led decision.
For a vendor that means designing for a considered decision: the stand has to make your category clear, show the platform convincingly, and give a buyer the time and space to be walked through it, because L&D tools are chosen after a proper look rather than on impulse.
Building at ExCeL London: the rules that shape your stand
ExCeL is a pillar-free hall with around 10m of clear internal height, but your stand does not get all of it. For space-only stands the working height limit at most ExCeL shows is 6m, and anything ExCeL classes as a complex structure — double-deckers, heavy suspended elements, long unsupported spans — triggers a formal sign-off you need to budget time for, not just money.
Complex designs must be submitted with engineering calculations applying a minimum factor of safety of 1.5. An independent structural engineer reviews the drawings and, if satisfied, issues a Certificate of Structural Adequacy at design stage, which releases your Certificate to Build; the same engineer inspects the stand on site during build-up before you can open. Miss a calculation or submit late and you do not build.
Overhead rigging is controlled tightly: all primary rigging to the ceiling is installed exclusively by ExCeL's own team, ordered through ExCeL's webshop and confirmed around 28 days before tenancy for the advance rate. Lightweight static items hang from drop wires up to 50kg; heavier loads are separate, costlier orders.
The smaller rules catch people out too: platforms above 170mm need ramped, accessible access; solid walls along an open gangway edge are generally not allowed; only water-based paint may be used on site; and every structure must be fully self-supporting. We design to all of this from the first sketch and submit the venue paperwork, so the build you approve is the build that opens.
What a winning L&D stand needs
Software sells on being seen in use, so we build demo stations where a buyer can watch or try the platform, with screens placed for clear viewing and a clear one-line statement of the problem you solve. Around that we design seated space for the longer walkthroughs that L&D buying needs, and structured lead capture so two days of conversations become a usable, attributed list.
Messaging does heavy lifting here: the back wall should say which organisations you serve and what outcome you deliver, not just your product name, so the right buyers stop and the demo conversation starts from the right place.
Acoustics matter more than people expect on a software stand. Two halls of demos and theatres are loud, so we plan seating and screen placement so a walkthrough can actually be heard, and where the conversation needs focus a semi-enclosed corner keeps a serious demo from competing with the noise around it.
Designing for considered, demo-led buying
Unlike an impulse show, L&D platforms are bought after a proper look, so dwell time matters more than a quick hook. We build in standing demo points for quick looks and a few seated positions for the higher-value conversations, keep the messaging jargon-light because the decision-makers aren't always the most technical people in the room, and design a natural path from a passing glance to a booked follow-up.
Being co-located with HR Technologies UK means cross-over traffic, so we make the stand legible to both L&D and HR visitors rather than assuming everyone arrives knowing your category.
We also make it easy for a buyer to self-serve while they wait — a short looping demo or a clear ‘what this does’ panel — so a busy stand keeps warm prospects engaged until your team is free, rather than losing them to the next exhibitor.
What a Learning Technologies stand costs
A turnkey stand typically runs roughly £3,950–£12,500 for a compact custom build, £12,500–£28,000 for a mid-size build with demo and meeting space, and £28,000 and up for a flagship island. The quote is turnkey — design, build, AV mounting, lighting, delivery to ExCeL, install, dismantle and the rigging and electrical paperwork are included — and AV and bespoke joinery usually move the number most.
As with most software shows, the spend that pays back is in a clear, reliable demo and seated space rather than raw size — a buyer who sits down and is properly shown the platform is worth more than three who glance and move on.
Stand sizes and layouts
Stands run from compact spaces for first-time vendors up to large islands for established platforms. The layout balances demo visibility with the seated capacity that considered software sales need, and open sides multiply the aisles your demo is seen from, so where space allows we orient the key screen and entry point to the busiest routes through the two halls.
We also design the stand to work with the cross-over traffic from the co-located HR show, placing your clearest message where both HR and L&D visitors pass so neither audience walks by without understanding what you do.
And whatever the footprint, we protect at least one space where a real conversation can happen, because that seated walkthrough is where L&D deals actually move forward, and a stand with nowhere to sit a serious buyer down leaves its best opportunities standing in the aisle.
Getting into ExCeL: build-up timing
The show sits in a busy spring run at ExCeL, so build-up slots, rigging and power book up early and late orders attract surcharges. We confirm your space-only window, book rigging at the advance rate (around 28 days out), coordinate power for live demos with the appointed contractor, and crate to a schedule that lands the stand inside its slot, keeping your orders on file for next year.
We design the power and data layout around your live demos from the outset, because a software stand that loses connectivity at the wrong moment undoes the whole reason you're there.
Reusing your stand between editions
Learning Technologies is annual and most vendors return, so we build on a modular core, store it and refresh the graphics and demo setup for each year's product. That keeps cost down and lets the stand track your roadmap, and we keep your layout and contractor orders on file so the next build starts from a known, working setup.
We keep your layout and contractor orders on file so each year starts from a known setup, and because the show evolves quickly around AI and new tools, a modular stand lets your messaging and demos change without a rebuild.
Next step for your Learning Technologies stand
Send us your space size, hall position and goals for Learning Technologies. You'll get a custom 3D concept and a fixed, all-inclusive quote within 48 hours — designed to ExCeL's rules, with structural sign-off built into the timeline if your design needs it. We build in-house and install at ExCeL London, so the stand you approve in the rendering is the stand that opens.
We also design and build exhibition stands for other major UK shows — see the full show calendar for technology, data & digital and beyond, all with the same in-house team, fixed all-in pricing and full venue paperwork.
