BVA Live Stand Builders: NEC Logistics, the Veterinary Buyer, and What Wins Practices

BVA Live is the British Veterinary Association's annual conference and exhibition, held each June at the NEC Birmingham and run with CloserStill Media, the team behind the London Vet Show. It brings the veterinary profession together for two days of CPD, debate and networking, with an exhibition of the pharma, equipment, diagnostics, practice-software, nutrition and recruitment brands that serve practices — a more intimate, regional counterpart to the autumn London Vet Show.

The audience is vets and the wider practice team, time-limited and between sessions, so the brief is clear plus credible plus conversational: say plainly which clinical or business problem you solve, make it easy to see or try, and give your specialists room for the professional conversation that earns a practice's trust. A clinical audience values substance over spectacle.

Because it's an education-led event, a stand that respects the profession's seriousness — clean, credible, easy to engage with — lands better than a hard-sell.

For a veterinary brand that means a calm, credible stand a busy vet can step into between sessions: understand it fast, see it work, and talk it through with someone who knows it. The exhibitors who win practices design for clarity and credibility, not noise.

Building at NEC Birmingham: the rules that shape your stand

The NEC is the UK's largest exhibition venue — big, flat, pillar-free halls with generous height — which is what makes it suited to large stands and double-deckers. Space-only stands typically build to 6m, and anything the NEC classes as a complex structure (double-deck, raised platforms over a certain height, heavy suspended elements) needs structural drawings and calculations approved ahead of the show.

The NEC publishes a detailed technical e-Guide and operates appointed contractors for rigging and electrics: rigging is ordered through the venue's official rigging supplier by the published deadline, and power is ordered from the appointed electrical contractor. Order late and you pay on-site surcharges during the busiest build days. We file these the day a design is signed off.

Accessibility and fire rules apply as everywhere: raised floors need ramped edges, materials must be fire-retardant to the venue standard, and finishes are completed off-site because in-hall fabrication is limited. The NEC's scale also makes logistics the variable that decides your build week — marshalling-yard timing and hall access windows are tight in peak season, so we crate and schedule to land your stand inside its slot.

What a winning veterinary stand needs

The strongest stands make it easy for a busy vet to understand and engage: a clear line on what you offer and to whom — small animal, equine, farm, practice management — a way to see the product or demo it, and a comfortable spot for a professional conversation or a quiet chat about a clinical need. We design lead capture in naturally, because much of the value is following up with the practices you met.

Credibility matters with a clinical audience, so we design a calm, professional, well-finished stand — evidence, demonstrations and the people who know the product, rather than noise — because vets respond to substance, not a hard sell.

Where you can let a vet try a product or see a procedure or workflow demonstrated, we design that in, because hands-on and seeing-it-work persuade a clinical audience far more than a panel of claims.

Quiet, on-stand space for a one-to-one matters more here than at a louder show, because clinical and practice-software decisions are made in considered conversation, not a thirty-second pitch.

Designing for the veterinary profession

Vets and nurses move between CPD sessions with limited floor time, so the stand has to be relevant at a glance and easy to step into. We give your clinical area or product a clear headline so the right professionals stop, design an unintimidating way to start a conversation or see a demo, and keep a seated spot for the detailed discussion a clinical or practice-software decision needs.

Where you have proof — clinical evidence, a live demonstration, a recognisable practice using you — we give it room, because this audience is persuaded by demonstrable value and peer credibility far more than by marketing claims.

We also keep the stand uncluttered and welcoming, because an intimidating or hard-sell stand puts off a profession that engages on its own terms and rewards a respectful, informative approach.

What a BVA Live stand costs

A turnkey stand typically runs roughly £3,950–£12,500 for a compact custom build, £12,500–£28,000 for a mid-size build with demo space and a meeting or consultation area, and £28,000 and up for a flagship build. The quote is turnkey — design, build, graphics, lighting, delivery to the NEC, install, dismantle and the venue paperwork are all included — and any product demo, AV and bespoke joinery usually move the number.

Because the value is in the practices you connect with, the spend that pays back is in a credible, welcoming stand and the specialists to staff it — not in spectacle, which a clinical audience tends to discount.

What you don't pay extra for is in the turnkey figure — flooring, material handling and electrical — so the number you sign is the number you pay.

Stand sizes and layouts

Stands run from compact spaces for first-time and specialist suppliers up to larger builds for established veterinary brands. The layout balances an easy, open approach with space for a focused conversation, so we keep the product or demo where the aisle sees it and a calmer area for the clinical or commercial discussion. Open and corner positions help reach a profession that's between sessions.

Whatever the size, we keep the stand professional and welcoming, because BVA Live is an intimate, education-led event where a calm, credible presence earns more trust than a loud one.

Even a compact stand works hard here when it's clear and welcoming, because at an intimate event the quality of the conversation matters more than the square-metre count.

Getting into the NEC: build-up timing

The NEC runs to a tight marshalling-yard and hall-access schedule, and services book up early. We confirm your build-up slot, order power, rigging and any connections through the NEC's appointed contractors before the deadlines (late orders attract surcharges), and crate to a schedule that lands the stand inside its access window — finished and ready before the first session breaks.

We also handle the venue paperwork end to end, so a first-time veterinary exhibitor arrives to a compliant, finished stand rather than a build-day scramble.

Reusing your stand between editions

Veterinary brands exhibit at BVA Live and the London Vet Show, plus other sector events, so a modular, reusable stand is excellent value. We store the core, refresh the graphics and demo for each event, and keep your services and contractor orders on file — so you arrive with a current, credible stand rather than a rebuild, and carry a consistent look across the veterinary calendar.

Because many veterinary brands exhibit at both BVA Live and the autumn London Vet Show, we design the stand to carry cleanly between the NEC and ExCeL, refreshing graphics and demo while keeping the credible shell the profession recognises.

Next step for your BVA Live stand

Send us your space size, hall position and goals for BVA Live. You'll get a custom 3D concept and a fixed, all-inclusive quote within 48 hours — designed to the NEC's rules, with structural sign-off built into the timeline if your design needs it. We build in-house and install at NEC Birmingham, so the stand you approve in the rendering is the stand that opens.

We also design and build exhibition stands for other major UK shows — see the full show calendar for healthcare, care & science and beyond, all with the same in-house team, fixed all-in pricing and full venue paperwork.

Rigging and power go through the NEC's appointed contractors

At the NEC, overhead rigging is ordered through the venue's official rigging supplier and electrics through the appointed electrical contractor, both against published deadlines. Order late and you pay on-site surcharges during the busiest build days. We file these the day a design is signed off.

02

Space-only height runs to 6 metres

Space-only stands at the NEC build to 6m, which is what makes double-deck and tall features possible. Anything the NEC classes as a complex structure — double-deck, raised platforms, heavy suspended elements — needs structural drawings and calculations approved ahead of the show. We prepare these in-house.

03

Logistics run on the marshalling yard

The NEC is the UK's largest venue and access runs to a tight marshalling-yard and hall-access schedule, especially in peak season. We crate and time deliveries to your access window so the stand lands on schedule instead of queuing in the yard.

04

Finish off-site to the NEC fire standard

Materials must meet the venue's fire-retardant standard and in-hall fabrication is limited, so finishes are completed and inspected at our workshop and the on-site crew assembles clean.

Common mistakes, in order of frequency

  1. An oversized logo on the back wall that crowds out the one-line value proposition a passer-by actually reads in three seconds.
  2. The same graphic on the front and side panels of an inline stand — the side panel is your aisle-facing billboard and the most wasted surface at most shows.
  3. A freestanding sign or counter at the very front that blocks the sightline into the stand and stops people stepping in.
  4. Under-staffing at peak — you need someone working the aisle separately from whoever is running meetings.
  5. A fully enclosed meeting room on a small stand: it eats a quarter of the floor and leaves the rest cramped. Under ~30 sqm a semi-open nook usually works better.
  6. Leaving rigging and electrical orders until after the venue deadlines and paying avoidable surcharges.

★ FAQ ★

20 Questions Exhibitors Ask About BVA Live Stands

Real answers with real numbers. Click any question to expand.

How tall can my stand be at BVA Live, and do I need structural approval?

For space-only stands at NEC Birmingham the working height limit at most shows is 6m. Anything treated as a complex structure — double-deckers, large suspended elements — needs engineering calculations reviewed by an independent structural engineer, with a structural-adequacy certificate at design stage and an on-site inspection before you open. We handle the full submission so it doesn't put your build at risk.

Can I hang a banner or lighting rig above my BVA Live stand?

Yes, but suspended rigging is installed only by the NEC's appointed rigging team and ordered through the official webshop, confirmed around 28 days before tenancy for the advance rate. Lightweight static items hang from drop wires up to 50kg; heavier loads are separate orders. We design within standard trim heights and order it all for you.

How much does a BVA Live stand cost?

Roughly £3,950–£12,500 for an enhanced shell scheme or compact custom build, £12,500–£28,000 for a mid-size custom build, and £28,000+ for flagship, double-decker or large island builds. Every quote is fixed and all-inclusive with a free 3D concept.

When is BVA Live and how early should I book?

BVA Live runs each June at the NEC Birmingham, the BVA's annual conference and exhibition — the next edition is June 2027 (exact dates to be confirmed). Because the best stand positions and production slots go early, we recommend booking 8–14 weeks ahead, earlier for a large or complex-structure build.

What's included in a turnkey BVA Live stand?

Custom 3D design, in-house build, full graphics, delivery to NEC Birmingham, certified install and dismantle, all space-only and rigging paperwork, electrical coordination with the appointed contractor, structural sign-off where required, and a dedicated project manager from kickoff to breakdown — on one invoice.

What's included in the price?

Every quote is turnkey: a custom 3D concept, in-house build and pre-build inspection, full graphics production, delivery to NEC Birmingham, certified install and dismantle, all health-and-safety and contractor paperwork, and a dedicated project manager — on one invoice.

Can I customise a design from your gallery?

Yes. Pick any base design and change graphics, colours, finishes, monitor placement, counter styles, accessories and meeting-room layout. Your final 3D rendering reflects every change before production starts.

Can I add AV, monitors and tech to the stand?

Yes. Monitors, touchscreen kiosks, tablet stands, charging points and audio are all standard add-ons included in your flat quote — no separate AV vendor to coordinate.

Do you provide on-site support during BVA Live?

Yes. Our team is on call during BVA Live show hours for anything from graphic touch-ups to electrical issues, and larger stands include a dedicated on-site project lead.

What happens to the stand after the show?

Our crew dismantles and removes the stand, and we can store reusable elements for your next edition and refresh the graphics — so you are not paying to rebuild from scratch each time.

What is your in-house pre-build guarantee?

Every stand is fully assembled and inspected at our facility before delivery to NEC Birmingham. We send preview photos for approval, then it ships — so the on-site install is the replication of an approved build, not first-time assembly on show day.

Do you build double-decker stands?

Yes. Where the floor plan and budget allow, a double-decker doubles your footprint and adds a first-floor area. At NEC Birmingham a two-storey stand needs engineering sign-off, which we manage end to end.

Do you work with international exhibitors at BVA Live?

Yes. As part of a group operating across the USA, UAE and Europe, we support international brands exhibiting at BVA Live with one point of contact, a consistent design language and full UK venue and logistics handling.

How do I get started?

Send your BVA Live stand space, dates and any design preferences. You'll receive a custom 3D rendering and a fixed, all-inclusive quote within 48 hours — no obligation.

Do you handle electrics, lighting and power?

Yes. We design the lighting scheme and order power, rigging and connections from the NEC's appointed contractor, included in your flat quote — you don't manage a separate electrical supplier.

Do you offer rental or shell-scheme upgrade stands for BVA Live?

Yes. Alongside full custom builds we offer fixed-price rental and shell-scheme upgrades — fast, cost-effective, and dressed to look bespoke. Ideal for first-time or budget-conscious exhibitors.

Can you build a sustainable, reusable stand?

Yes. We build reusable modular systems and use recycled and low-waste materials, then store and refresh the stand between editions — better for budget and for your sustainability reporting.

Can you build a private meeting room into the stand?

Yes. A semi-enclosed meeting or consultation space is one of the most useful features at BVA Live; we design it into the layout with the right acoustics, seating and storage.

What size stand do I need?

It depends on your goals at BVA Live — a 9–18m² stand suits a focused presence, 18–50m² gives room for demos and meetings, and 50m²+ supports a flagship or double-decker build. Tell us your objectives and we'll recommend a size and layout.

How is a BVA Live stand different from a London Vet Show stand?

Both reach the veterinary profession, but BVA Live at the NEC in June is a more intimate, education-led event than the larger autumn London Vet Show at ExCeL, so we design a calm, credible, welcoming stand that's easy for a busy vet to engage with between sessions — and we can carry a consistent look across both shows and store it between editions.
